Our aim is to make it easy for you to run a retreat – whether you’re an experienced retreat leader or planning your first one.
Here’s what we take care of:
- • All administration is on us – we have the event management software for people to register, we handle all the payments, we’ve also developed a handy 6-email series that automatically gets sent out to people upon registration, we handle questions and can even help people plan their trip.
- • We also take care of the landing page coding, and the development of digital media that you can use.
- • Payment plans for any retreat participants who like to spread things out a little, giving you more of an opportunity to recruit more people with the flexibility of a payment plan.
- • Payment disbursements – to you and any other leaders you might be working with. We usually do an early disbursement as people are registering and one after the completion of the retreat.
- • All 3rd party organization and on-the-ground logistics. Let’s say you want to take your people to the beach, we’ll handle the coordination of the shuttles and we’ll also include all that in the retail price of the retreat.
- • Offer excursions and rainforest adventures to your retreat group when they’re here, giving you the opportunity to take a few moments of down-time (since running a retreat can be a lot of work).
- • Marketing planning support.
- • As the leader, once you have 6 people registered in your retreat your food and accommodation at the centre is taken care of for the duration of the retreat, meaning you don’t pay for that while you’re leading your group. If you are co-leading a retreat, 12 fully paid registrants are necessary to cover meals and accommodations for both of you.

Here’s what you take care of:
- • Working with us on the landing page text and the specific retreat offerings you’d like to include.
- • Marketing your retreat and selling spaces.
- • Showing up and doing what you do best.
Sounds pretty good, doesn’t it?! That’s exactly how we planned it – from having spoken to so many retreat leaders over time, we went ahead and built the systems to take all the things that you as a retreat leader don’t want to do off your plate.

So what’s next?
If you like the sound of all this as much as we hope you do, keep reading for the first steps to set up your next (or first?) retreat and the costs involved.
Our retreat season is from Dec 1 through to the end of April, so the first thing to look at are dates within that time-frame and see what works well for you. We have already set the season up in available chunks so that we have time in between retreats and so that we make the most of the short season – so when you have a rough timing, we’ll chat about that and you might have to shuffle it a little bit in order to fit in with those existing time chunks.
The second step that is often a tough one, especially if you’re just starting out with retreats, is picking an amount (in USD) you’d like to earn per person. We’ve got our rates listed below, so you can factor that into your calculations. When you’ve figured out how much you’re charging per person please let us know this $$ amount and we’ll build that into the registration page.
| Inclusions & Calculations | Cost |
|---|---|
| Accommodations, 3 meals daily, administration, transport from Palmar Sur | For a 7-day retreat $1345 per person |
| + Single occupancy retreat participant | + $400 |
| + Additional days for your retreat | + $130 per day per person |
| + Your retreat fee | + $$$ per person |
| Total retail price for your retreat | $$$ per person |
All prices are in USD.
For every 6 fully-paid registrants, you get 1 leader position covered for the above costs. This means, if you don’t manage to get a minimum of 6 registrants, you will also need to pay the base fee above of $1345 USD for your retreat. Similarly, if you are co-leading a retreat, your co-lead is only covered for food and accommodations if you get 12 paying participants registered. If you get more than 6 but less than 12, one of you is covered for your expenses, but the other must pay the above base fee.
Holding dates:
Now, if you’re more excited than ever to work with us on your retreat, the next step is to send us an email (at the email address below) with a rough date range for your desired retreat, a price per person (in USD) that you’d like to earn, and an explanation of the things you’d like to offer your people.
Once we collaborate on a date that works for you, a deposit of $500 USD is required to secure the dates. This deposit is non-refundable and non-transferrable. Upon completion of the retreat, the value of the deposit will be accounted for in the final payout calculations.
Contact us via email: info[at]navina.ca. We’ll then set up a call for the steps after that.
